JOB DESCRIPTION:

We are in search of a dependable and seasoned Courier Operations Supervisor to become a part of our team. The suitable candidate will be tasked with managing the smooth functioning of courier services. This position guarantees that couriers execute their duties efficiently, that schedules are followed, and that all deliveries comply with the company’s standards for punctuality and quality. Additionally, the supervisor will be responsible for resolving operational challenges and ensuring staff motivation throughout their shifts.

Oversight of Shift Operations Management.

  • Oversee all courier operations to guarantee efficient and timely deliveries.
  • Track delivery progress using monitoring systems and modify routes or resources as necessary.
  • Identify and resolve operational challenges, such as delivery delays, route modifications, or emergencies.
  • Evaluate and enhance delivery routes to boost efficiency and minimize delivery durations.
  • Ensure that all vehicles are well-maintained and comply with safety and legal standards.
  • Supervise and regulate the movement of stock into and out of outbound cages.
  • Collaborate with the Inbound/Warehouse Manager to ensure the timely execution of picking in accordance with scheduled deliveries and collections.
  • Address delivery-related inquiries.
  • Verify that goods are loaded correctly to avoid stock damage.
  • Oversee the distribution of trucks, drivers, and routes for deliveries.
  • Organize the scheduling of pick-ups, returns, re-deliveries, and collections within the Transport Activity.
  • Manage and resolve issues related to unsuccessful pick-ups, returns, and re-deliveries.
  • Monitor these processes and intervene in case of any irregularities throughout the day.
  • Respond to inquiries regarding urgent deliveries or collections.
  • Work in conjunction with the Returns/Complaints departments on pick-ups, exchanges, and re-deliveries.

Oversee the team.

  • By allocating tasks to couriers and ensuring an equitable distribution of workload.
  • Facilitate pre-shift briefings to convey objectives, specific instructions, or updates regarding routes.
  • Offer continuous support and direction to couriers throughout their shifts.

Monitoring and Reporting on Performance.

  • Monitor and assess the performance of couriers to ensure adherence to company standards.
  • Prepare and submit shift reports that include delivery metrics, resolved issues, and feedback from couriers.
  • Identify and escalate persistent operational challenges to the Operations Manager.
  • Oversee and guide a team of couriers, dispatchers, and support personnel.
  • Conduct evaluations of performance, provide coaching, and deliver training to enhance team skills and efficiency.
  • Organize shift schedules, manage attendance, and oversee daily personnel management.
  • Track and report on essential performance indicators (KPIs), such as delivery times, customer satisfaction, and cost efficiency.
  • Implement improvements in processes to enhance operational performance and minimize costs.
  • Utilize technology and software solutions to monitor deliveries and optimize routing.
  • Serve as the intermediary between courier staff and management, conveying performance objectives and operational updates.
  • Collaborate closely with other departments (e.g., logistics, customer service) to ensure a seamless workflow and address any operational bottlenecks.
  • Prepare regular reports for senior management regarding operational performance and staff productivity.

Administrative Responsibilities:

  • Ensure precise documentation of deliveries, returns, and incidents throughout the shift.
  • Oversee the upkeep of courier vehicles and equipment to prevent any interruptions in operations.

Regulatory Adherence and Security.

  • Ensure that all couriers are provided with the essential tools and safety equipment prior to starting their routes.
  • Ensure that all operations adhere to company policies, safety regulations, and legal requirements.
  • Establish and uphold safety measures to reduce accidents and safeguard the health of all employees.
  • Enforce access restrictions to designated areas.
  • Oversee adherence to operational safety guidelines, policies, and procedures at the Service Centre.
  • Ensure the maintenance of safe working environments.
  • Abide by all legal obligations concerning workplace injuries.
  • Participate in quarterly Health and Safety meetings with the team to address unresolved issues.
  • Oversee the safe operational conditions of the fleet.
  • Perform inspections and oversee the upkeep of the fleet.
  • Adhere to and enforce OHSA regulations within the designated area of responsibility.
  • Complete all required checklists related to the fleet, the facility, and equipment within the area of responsibility.

Client support.

  • Serve as the main point of contact for customers to handle inquiries or complaints, ensuring prompt resolution of issues related to delivery services.
  • Maintain a high standard of professionalism by ensuring couriers deliver courteous service, monitor customer feedback for operational improvements, and guarantee customer satisfaction through efficient issue resolution.
  • Provide exceptional customer service by greeting recipients warmly, obtaining necessary signatures, and presenting a neat and professional appearance in the company uniform.
  • Treat all customers with respect and dignity, manage their expectations effectively, and recognize customer-centric behavior in others.
