Position: Administrative Assistant
Location: CIT Parow Branch
Reports to: Regional Manager
We are seeking a detail-oriented Administrative Assistant to support our CIT Regional Manager at the Parow Branch. Your role will be essential in ensuring the smooth operation of our daily processes.
Key Responsibilities.
- Assist the Regional Manager with various administrative tasks
- Ensure efficient communication and coordination within the team
Minimum Qualifications.
- Education:
- High School Diploma (Grade 12 certificate) or equivalent
- Advanced qualifications in office administration or public relations are a plus
- Experience:
- Minimum of 5 years in administrative roles
- At least 5 years of experience in billing
- Strong understanding of the Cash in Transit (CIT) industry
- Skills:
- Proficient in Microsoft Word, Excel, PowerPoint, and Outlook
- Exceptional verbal and written communication
- Ability to manage time effectively and handle pressure
- Additional Requirements:
- Clear criminal record
- Driver’s license is beneficial
- Flexibility to work extended hours as needed

Key Performance Areas (not exhaustive):
- Administrative Support: Efficiently manage administrative tasks to ensure smooth office operations.
- Call Management: Answer, screen, and transfer incoming calls to the relevant departments, and take accurate messages when necessary.
- Communication Handling: Address correspondence and inquiries promptly, escalate issues when needed, and provide timely feedback to both management and clients.
- Request and Query Management: Handle requests and queries efficiently, ensuring appropriate responses and actions.
- Report Management: Assist in the preparation, maintenance, updating, and filing of various branch reports to ensure accurate records.
- Meeting Coordination: Organize and coordinate meetings, prepare agendas, and accurately record meeting minutes.
- Schedule Management: Manage diaries, schedule appointments and events, and perform necessary errands to maintain efficient workflows.
- Financial Duties: Conduct revenue checks for the region to ensure accurate financial reporting.
- Returns Consolidation: Consolidate regional financial returns for comprehensive analysis.
- Credit Control: Oversee credit control duties for key clients to maintain good financial standing.
- General Office Assistance: Provide support for general office inquiries and tasks as requested by the Regional Manager.
